Job: Administrative Assistant Position - East Bay College Fund

East Bay College Fund is looking for an energetic, organized person to provide administrative support to our small grassroots nonprofit organization, under direction of the Executive Director (ED). East Bay College Fund (EBCF) provides $16,000 college scholarships and mentoring to Oakland public high school students. We are especially interested in skilled individuals who are committed to social change, who want to help under-represented young people go to college and expand their life opportunities, and who may come from backgrounds similar to our Scholars. Responsibilities include generating and managing correspondence with students and adults via email, mail and telephone; event planning and organizing; database management; word processing; data entry; coordinating large mailing projects; assisting ED with Scholar selection event; occasionally attending evening Board meetings and weekend events as needed; photocopying and filing. Responsibilities have the potential to expand depending upon individual’s organization and communication skills, and the growth of EBCF.

All work will be performed in your own home using your own computer, printer and telephone. Occasional meetings and work are scheduled as needed in nonprofit members’ homes or at public venues in and around Oakland.

Hours are part time and flexible, averaging 5-10 hours per week. Hours fluctuate during year. Some weeks there is little work; during the busiest months there is a lot of work (March thru May, and August). You are notified in advance of special events or meetings which require your attendance. There are no benefits for this position. You are hired as an independent contractor. A 1099 form will be issued to you at the end of the fiscal year; you pay your own Social Security contributions and Federal income taxes.

Minimum required skills:

  • Excellent verbal, written and oral communication skills
  • Extremely reliable, responsible, and organized
  • Skilled using Microsoft WORD, Excel spreadsheets; able to learn and manipulate data in ACCESS database software
  • 2-4 years experience in office or administrative work, or related business experience
  • MUST have safe, reliable computer, printer and telephone available for your use
  • Have own reliable transportation or able to be punctual using public transportation
  • Good attention to detail
  • Able to prioritize tasks and meet deadlines
  • Take direction well
  • Enjoy college-age young people; comfortable interacting with wide variety of people

Pay is $15-20/hour, depending upon experience. Position begins immediately.

Potential responsibilities for Admin Asst

1. Administration

- Handle mailings and directed correspondence to EBCF constituencies (scholars, donors, mentors, volunteers, advisory council)
- create and distribute mailing labels of EBCF constituencies
- keep EBCF roster current
- maintain EBCF database; input updates and new info
- provide comprehensive lists from database, sorted as needed
- copy documents as needed
- attend Board meetings as requested, send materials to absent members

2. Scholar Support

- Request donor letters & grades from scholars & provide donor addresses as needed
- Track receipt of documents & follow-up with scholars as needed
- Prepare and mail scholar checks
- Maintain current scholar contact info
- coordinate mass emailings of information to scholars

3. Event Planning and Coordination

- Send invitations and handle RSVP’s, send reminder emails/phone calls
- Assist event coordinators with planning and organization: location, set-up, prepare materials needed, provide signage, email/phone call reminders, create nametags, create and send directions, etc.
- Attend and assist at all events (awards ceremony, BBQ/picnic, orientation, holiday gathering, mentor dinner, sort of applications, read-through, interviews)

4. Scholar Selection

- Assist Managing Consultant in all areas of selection process, as needed
- Mail scholarship applications to various partner programs and high schools
- copy and deliver applications as needed
- work with Board & Consultant to create and confirm list of readers & interviewers
- organize and copy applications for sort, read-thru and interviews
- input data from applications and create datasheets for review/statistics
- create score sheets, copy instructions for volunteers, tabulate reader/interviewer results
- help w/correspondence to applicants, their schools and counselors –invites to interview, regrets, RSVP to interview, congrats & alt. letters
